This Refund and Returns Policy outlines the conditions under which Members of Alliance Dubai Jiu-Jitsu Academy may request a refund for memberships, class packages, or other services purchased through our website or at the Academy. This policy applies to all payments, including recurring billing transactions.
1. General Policy
1.1 Alliance Dubai Jiu-Jitsu Academy is committed to fair and transparent billing practices. We understand that circumstances may change, and we aim to handle all refund requests promptly and equitably.
1.2 As our Services are related to physical training and class attendance (rather than physical goods), traditional “returns” do not apply. This policy addresses refunds and credits for unused services.
2. Cooling-Off Period
2.1 Members who have purchased a membership but have not yet attended any class may request a full refund within forty-eight (48) hours of the date of purchase.
2.2 To request a refund during the cooling-off period, the Member must contact the Academy in writing via email or WhatsApp.
3. Refund Eligibility
3.1 Refunds Before First Class: If a Member cancels their membership before attending any class, a full refund will be issued regardless of the plan duration.
3.2 Refunds After Classes Attended: If a Member has attended one or more classes, refunds will be calculated on a pro-rata basis. The refund amount will be the total amount paid minus the cost of classes attended, calculated at the Academy’s standard single-class rate.
3.3 Fixed-Term Memberships (Upfront Payment): Memberships paid in full for 3-month, 6-month, or 12-month terms are generally non-refundable once the membership period has commenced and classes have been attended, except in the circumstances described in Section 4 (Exceptional Circumstances).
3.4 Recurring Memberships: For memberships billed on a recurring basis, no refund will be issued for the current billing period after the cooling-off period has passed. Cancellation will take effect at the end of the current billing cycle.
3.5 Private Sessions: Unused private sessions from a purchased package may be refunded on a pro-rata basis if the Member requests cancellation within thirty (30) days of purchase. After thirty (30) days, unused sessions are non-refundable but may be rescheduled.
3.6 Trial Sessions and Gi Rental: Trial sessions are complimentary and non-refundable. Gi rental fees (AED 50) are non-refundable.
4. Exceptional Circumstances
The Academy may, at its discretion, offer a refund or membership freeze in the following exceptional circumstances:

Medical Reasons: If a Member is unable to continue training due to a medical condition or injury (supported by a medical certificate from a licensed healthcare provider), the Academy may offer a pro-rata refund or freeze the membership for up to three (3) months.

Relocation: If a Member permanently relocates outside Dubai and can provide evidence of relocation (e.g., visa cancellation, employment transfer letter), the Academy may offer a pro-rata refund for the remaining unused portion of the membership.

Academy Closure or Service Disruption: In the event the Academy permanently ceases operations or is unable to provide the contracted Services for an extended period (exceeding thirty (30) consecutive days), Members will be entitled to a pro-rata refund for the unused portion of their membership.
5. Recurring Billing – Erroneous Charges
5.1 If a Member has properly cancelled their recurring membership in accordance with the Terms and Conditions and a charge is processed after the cancellation effective date, the Academy will issue a full refund for the erroneous charge within fourteen (14) business days.
5.2 If a Member is charged an incorrect amount (e.g., duplicate charge or amount different from the agreed plan), the Member should notify the Academy immediately. The Academy will investigate and issue a correction or refund within fourteen (14) business days.
6. How to Request a Refund
To request a refund, Members must:

Contact the Academy via email or WhatsApp with the subject line “Refund Request”.

Provide your full name, membership plan, date of purchase, and reason for the refund request.

Include any supporting documentation (e.g., medical certificate, proof of relocation) where applicable.
The Academy will acknowledge receipt of the request within two (2) business days and provide a decision within seven (7) business days.
7. Refund Processing
7.1 Approved refunds will be processed to the original payment method used at the time of purchase.
7.2 Refunds will be processed within fourteen (14) business days from the date of approval.
7.3 Depending on your bank or card issuer, the refund may take an additional five (5) to ten (10) business days to appear on your statement.
7.4 The Academy is not responsible for any delays caused by the Member’s bank or payment provider.
8. Chargebacks
8.1 Members are encouraged to contact the Academy directly to resolve any billing disputes before initiating a chargeback with their bank or card issuer.
8.2 Unauthorized chargebacks for legitimate charges may result in suspension of the Member’s account and referral to a collections process.

10. Amendments
10.1 The Academy reserves the right to amend this Refund and Returns Policy at any time. Updated versions will be posted on the Academy’s website.
10.2 The policy in effect at the time of the Member’s purchase shall apply to that transaction.
11. Governing Law
This Refund and Returns Policy is governed by the laws of the United Arab Emirates and the Emirate of Dubai. Any disputes shall be resolved in accordance with the dispute resolution procedures set out in the Academy’s Terms and Conditions.
